Holding a Chartering Ceremony

Now that you've met the requirements to establish a new SHRM student chapter, here are some guidelines for planning a successful charter presentation ceremony


Congratulations on fulfilling the requirements to establish a new SHRM Student Chapter! Following are some guidelines for planning a charter presentation ceremony that will reward your members with recognition of their achievement. These are guidelines only; feel free to be creative and design your own ceremony based on the interests and personalities of your chapter members.

A Chapter Chartering Ceremony Often Includes ...

- Opening/Welcome from chapter president, advisor or sponsoring chapter member.

- Introduction of special guests (i.e., university president, deans or visiting SHRM staff).

- Brief history of how the chapter was started.

- Presentation of the charter to the chapter president and advisor.

- Introduction and installation of chapter officers. An officer installation ceremony can be printed here.

- Speaker. (Good subjects include: the benefits of SHRM membership, the growing importance of the HR profession, or a challenge to continue building the chapter now that the group has been affiliated.)

- Statement of support from the sponsoring professional chapter.

- Refreshments, reception or meal.

General Suggestions...

- Devote the entire meeting to the chartering ceremony.

- Invite college or university officials, faculty members, friends and spouses.

- Coordinate your plans with your sponsoring/parent chapter and include them in the ceremony. Some chartering ceremonies are held in conjunction with a professional chapter meeting.

- Publicize the event in your sponsoring chapter’s newsletter, and prepare press releases for your local media including campus and community newspapers, radio and TV stations.

- Invite prospective chapter members to attend the event and learn about SHRM.

- Send invitations to SHRM officials such as your state director, area vice president, state and area college relations directors, and your sponsoring chapter president. One of these individuals may also be available to present the charter to your group.
