Student Case Competition - Event Management and Logistics

Pre-Event

  • Identify date and location for event
  • Complete request form to post event and contact information on shrm.org
  • Select event format and partner(s)
    • Stand-alone event
    • In conjunction with existing state leadership conference, state conference or student conference
    • In collaboration with a neighboring state council
    • In collaboration with a SHRM professional chapter in the state
    • In collaboration with a SHRM student chapter in the state, held at the college/university
  • Create draft agenda for event using Event Schedule Sample
  • Create communications plan and related messaging for notification to potential student attendees and volunteers
  • Create sponsorship package and source potential sponsors using the Sponsorship Opportunities Sample
  • Determine registration processes for case competition teams and volunteers
    • Consider tailoring existing registration process/platform utilized for other state council conferences and events
    • Work with case competition volunteers to include student team eligibility criteria and any other requirements as part of the registration process
    • Identify need for team waitlist policy and process reference Team Registration Wait List Policy
    • Identify need for event cancellation/refund policy and process reference Registration Cancellation & Transfer Policy
  • Complete the process to obtain recertification credit for Judges as applicable
  • Determine prize/recognition items the state council will provide for competition winners (e.g. complimentary state conference registration, plaque, recognition certificate) - for more information view the Case Competition Prize Information document

 

Section Two:  ONSITE AT EVENT

  • Ensure appropriate room set up for competition rooms
  • Load PPT presentations on individual laptops in competition rooms (multiple flash drives recommended)
  • Post “Case Competition Round in Progress – DO NOT ENTER” signs on competition room doors to minimize disruptions – use our Round in Progress sign!

Section Three:  POST EVENT

  • Recognize winning teams and thank volunteers on state council website, in state publications, and during state events
  • Provide state council press release to local media outlets (press release example)
